Reservation and General Policies
Reservations: Booking a trip with Mount Major Adventures can be done by phone or by using the reservation form online. Upon booking, a $250 deposit is due. Payment can be made by major credit card (Visa, MasterCard, American Express, or Discover) either online or over the phone or by mailing a check. Once we receive the deposit your spot on the trip is secure and we will send you an email confirmation within 1 business day. An invoice for the balance will be emailed to you and full payment is required 60 days before the start of your trip. We reserve the right to cancel your reservation if we do not receive full payment 60 days before the start of your trip. For all bookings made within 60 days of your departure date, full payment is required at the time of reservation.
Single Supplement: Because the trip price is based on double occupancy, a single supplement is assessed in addition to the trip cost for participants who would prefer a room to themselves. If you let us know that you are open to a roommate and we are able find you one, this fee is waived.
Cancellations: If you must cancel your trip, a cancellation fee will be assessed in line with our cancellation policy. If you cancel more than 90 days prior to the start of the trip, the fee is $100 per participant. Cancellations made within 61-90 days prior to departure will be assessed a $250 fee per participant. Cancellations made within 60 days prior to departure will be assessed a fee equal to 100% of the full price of the trip.
All cancellations must be submitted in writing. Exceptions to our cancellation policy cannot be made for any reason, including but not limited to personal emergencies, travel delays, or weather. There is no refund for arriving to a trip late or leaving a trip early or for not using some aspect of a trip including but not limited to meals, accommodations, or special events.
In the unlikely event that a trip is canceled by Mount Major Adventures, you will be given a full refund for payments made prior to cancellation. Mount Major Adventures is not liable for additional personal expenses incurred by you before or as a result of a tour cancellation, such as airfare, accommodations, or other expenses. The refund will constitute full and final settlement and discharge of all liability on the part of Mount Major Adventures concerning the cancellation of the original tour.
Insurance: Mount Major Adventures does not assume any responsibility or liability for any loss of or damage to personal belongings or property, including loss or theft of such items, or for any personal or bodily injury or loss sustained during or as a result of the trip. Mount Major Adventures highly recommends that you obtain travel insurance. One resource to gather information on multiple insurers and policies and determine the best policy for you is insuremytrip.com.
Participant Responsibilities: Participants are responsible for being in sufficiently good health to participate in their chosen trip; for signing a Waiver, Release, and Consent form prior to the start of the trip; in the event they are bringing their own bicycle, for having the bicycle be an appropriate model for the chosen trip and for having the bicycle checked by a qualified mechanic prior to arrival; and for respecting the rights and privacy of other trip members. If Mount Major Adventures feels that an individual’s continuing participation may prove detrimental to the individual or to the well being and enjoyment of other participants on the trip, the participant may be asked to leave a trip.
Release of Liability: All participants in any Mount Major trip or event must sign a Waiver, Release, and Consent Form. We are unable to allow anyone to participate in any aspect of any Mount Major trip who has not signed this form.
Limitations of Liability: Mount Major Adventures is not liable for bodily injury or property damage as a result of (but not limited to): physical exertion for which a participant is not prepared; forces of nature; travel by plane, train, auto, boat or other conveyance, or by bicycle, foot or other form of active or adventure travel; consumption of alcoholic beverages; civil unrest; terrorism; breakdown of equipment; high altitude; lack of or limited access to medical attention in remote locations; and the adequacy of medical attention once provided. Mount Major Adventures is also not liable for: expenses (e.g., meals, transportation or hotel costs) not specified as included in the trip cost but which may be required to get to or from a trip start or end. Mount Major Adventures reserves the right to modify the trips itinerary without prior notice to improve the trip's quality or to accommodate the comfort and well being of participants. Mount Major Adventures will not assume responsibility for any vendor or other third-person or entity that fails to perform services that have been arranged. In such an event, Mount Major Adventures will seek alternative services.
